How to Create and Edit a Wedding Fair Listing on Guides for Brides
Couples are ready for Wedding Fairs and Open Days to start-up again from early October. They are eager to have the opportunity to visit a venue, meet exhibitors and get a taste of what they would like their wedding to look and feel like.
Hosting a Wedding Fair is an excellent way to attract couples to your venue, but your exhibitors will want to know that you’ll have a good footfall to justify their valuable time in attending and you’ll want there to be sufficient couples throughout the day to create a positive atmosphere. Our Wedding Fair Diary is the largest resource of Wedding Fair dates and thousands of couples refer to it throughout their wedding planning process, particularly in the early stages when they are getting a feel for different venues.

How do I set up a Wedding Fair Listing on Guides for Brides?
If you are a venue or event organiser, list your Wedding Fairs on Guides for Brides to let couples and potential exhibitors know about it. Here’s how it’s done.
Step 1 – Log in to your account
Log in to your Guides for Brides business account and head over to your main, advert dashboard. Look at the menu on the left-hand side and scroll down until you see ‘Add a New Event’.
Click on this option to be taken to the ‘Add Event’ section. When you are ready, press ‘continue’ to get started.
Step 2 – Reuse or Add New
If you have previously created an event on our Wedding Fair Diary, you will be given the option of reusing an old event instead of setting up an entirely new event. This is perfect for businesses who may have an annual or recurring wedding fair and allows you to use and edit the previous information instead of creating an entirely new event, and keeps your events higher up the Google search rankings.
If you aren’t reusing a previous event, press ‘Add New’ to create your new event.
Step 3 – The Details
You’ll be taken through a logical, step-by-step process to add your event. There will be some key details that are required to ensure we can list your event. You’ll need to know the location (if the venue is not registered on Guides for Brides, you can manually add this), the event date and time, and the basic organiser contact details.
There will be the option to add other details to ensure your event is full of the information couples will be looking for before attending.
Step 4 – The Description, Exhibitors and Imagery
Now it’s time to sell it! You’ll need to add a description of between 250 and 2000 characters to your event listing. Use this to tell couples why they should attend and what they can expect from the event.
Adding exhibitors is optional, but it will help promote your event to a wider audience across our site. For example, if you have a popular florist attending, those couples looking at the florists’ listing will be able to see they are attending your event and be encouraged to attend.
If the business attending isn’t listed on Guides for Brides, not to worry, you can manually add them.
Finally, add an attractive image to promote your event and make it eye-catching within the diary.
At the bottom of this page there is the option to advertise your fair to generate enquiries from exhibitors and attract far more couples. This is explained in step 5.
Step 5 – Advertising Your Fair
Anyone can include a Wedding Fair on Guides for Brides free of charge, however, to make your event stand out and make it a success on the day, we have a number of advertising options available:
- Star Listing – Top of the page with all the added features to ensure your event is a success. This is the option we have very successfully used as the only means of advertising our own Fairs. (£200 +vat).
- Featured Listing – Professional features to make your event stand out from the crowd, plus all the relevant contact details to generate enquiries before the event (£50 +vat).
- Standard Listing – Including your contact details so couples and exhibitors can contact you about the Fair or your venue (£25 +vat).
Select the option that would promote your Fair in the most professional way and we’ll send your invoice by email.
If you have pre-paid and have a promo code, choose your advert type and enter the code.
Press ‘Next’ when you have chosen how much promotion you’d like for your event, or to skip this stage.
Step 6 – You’ve Added The Event!
You can either click see the event within our diary or head over to the business hub. From the business hub, if you need to make any changes to your event listing, you can do so here.
Editing your Event Listing
Whether you have had to adjust the date of the event or have upgraded the listing and want to add professional features; editing your event listing is very simple. We encourage organisers and venues to re-use and edit past events rather than creating new Fairs each time as this keeps your Fairs higher on Google and saves you time in re-inputting the information each time.
Head over to your Guides for Brides Business Hub and select the event in the same way you would select an advert to edit.
The drop-down box located at the top, middle of your business hub allows you to select an advert or event. There should be an eye button next to it showing ‘View Event’ or ‘View Advert’.
From here, you can edit text, contact information, images, videos and more. Your options will depend on whether you have chosen a basic or upgraded event listing. Find these options using the menu on the left-hand side. Just make sure you save any changes before moving on to edit other elements of the event.
Can I delete my event?
No, only a member of our team can do this. We ask that you place the word “CANCELLED” in your event description instead of deleting your event completely. We can also place this in the title for you, please get in touch if you need us to make this adjustment. We don’t usually delete or unpublish events for a number of reasons. Firstly, if couples have signed up to reminders about your event, they will be able to see the update and this reduces the risk of them turning up on the day when the event is no longer taking place. Secondly, it will negatively affect SEO and the performance of your fair, especially if you are wanting to reuse the event listing next time you organise a wedding fair.
Only a member of the Guides for Brides team can delete or unpublish an event, so please get in touch if you need us to do this.
COVID Security and Track and Trace for Wedding Fairs
Your event will need to be COVID secure to ensure it can go ahead safely when wedding fairs are allowed to take place again. We’ll be bringing you more advice once PHE and DCMS have issued it for the events industry, but we are fairly certain it will include contactless and fully GDPR compliant track and tracing. This means you’ll need a software solution; you can’t use paper and pen or your existing booking systems.

The use of this software starts at just 20p per attendee or £14.99 / month, is GDPR Compliant and government approved. It is currently being used in the government pilots of exhibitions and conferences which are due to take place again in October.
